For a lot of small brands, WhatsApp is already a customer service channel — it just doesn’t look like one. It looks like the founder’s personal phone, with customer questions sitting in the same list as family and friends. Customers found the number once, and now it’s where they go: for them it’s the easiest way to reach any business, and the tone is allowed to be human.

That’s wonderful right up until there’s a team. Why most WhatsApp tools point the wrong way

Search for “WhatsApp Business tools” and almost everything you find is marketing software. Broadcast campaigns. Template blasts to ten thousand contacts. Chatbot funnels that qualify leads before a human ever appears. Abandoned-cart automations. That entire category treats WhatsApp as a cheaper SMS list — a place to push messages out, not a place where conversations come in.

We think that’s backwards for a small brand, and customers seem to agree: the moment a WhatsApp thread starts feeling like a marketing channel, people mute it. The channel’s entire value is that it feels like texting a person. Every automation you put between the customer and the person erodes exactly that.

Once connected, every message a customer sends to your WhatsApp number arrives as a conversation in the inbox, exactly like an email or an Instagram DM does.

One stream, same rules

Equally weighted, not a side tab. A WhatsApp conversation sits in the same list as everything else, with the same assignment, the same internal notes, the same tags, the same customer context sheet. Whoever picks it up replies from the inbox, and the reply goes back through WhatsApp. The customer notices nothing except that your brand answers quickly — from whichever teammate is actually around.

The 24-hour window, without surprises. Like Instagram, WhatsApp only lets a business reply for 24 hours after the customer’s last message. We treat that the way we treat IG’s window: as a sharpener, not a wall. The inbox knows when a window is closing and tells you before you type, not after you hit send. And if a window has closed, we say so plainly and suggest leaving an internal note for the team — rather than letting you write a reply that was never going to arrive.

Context that carries across channels. The customer’s profile — notes, tags, history, durable facts — is the same sheet whether they wrote to you on WhatsApp today and email last month. Your team sees the customer, not the channel.

What it deliberately doesn’t do

Same policy as always: we’d rather tell you up front than have you discover it later.

Do I need WhatsApp Business API access already?
No. The connect flow runs through Meta’s official signup — sign in with Facebook, pick or create a WhatsApp Business Account, done. We handle the API side, and the integration went through Meta’s App Review.

Can I use my existing number?
Only if it isn’t currently registered to personal WhatsApp — a Meta platform rule. Most brands use a dedicated number; a landline or a second SIM both work.

Will my customers be talking to a bot?
No. Every reply is sent by a person on your team. The AI can draft; only a human sends.

Does it cost extra?
