The short answer
Missive is a capable, well-liked shared inbox with a deep feature set — collaborative drafting, a lot of channels including SMS, and rules and integrations you can configure in depth. It has a following among teams who like to shape their tooling carefully, and it scales up comfortably into bigger teams and more elaborate workflows.
Vidual Inbox goes the other way. We built it for small brands who want to answer customer conversations together without feeling like they’ve bought a call centre. One flat price, unlimited team, a deliberately short list of things it does, and Instagram and WhatsApp treated as first-class channels rather than add-ons. If you’re a team of one to ten who’d rather be making than configuring, that’s the fit.
Where the two differ in philosophy
The clearest difference isn’t a feature — it’s what each tool assumes about you.
Missive assumes you’ll want to shape it: rules, automations, integrations, options to tune as your team and volume grow. Its collaborative drafting — two people writing one reply together, live — is a genuinely distinctive piece of work. All of that is a strength if you enjoy that kind of setup and have someone to do it.
Vidual Inbox assumes the opposite. We think most small brands don’t want to administer software; they want to open it, see who’s waiting for a reply, answer, and get back to the bench. So the loop is small on purpose: assign a conversation with a tap, leave an internal note the customer can’t see, watch its status — open, waiting, done — and reply from your own brand address. No ticket numbers, no SLA timers, and no automation rules to maintain. If you need those, a help desk is the better home, and we’ve laid out that fork in full in our shared inbox or help desk decision tree.
There’s one place we deliberately went further than “just an inbox”: memory. Our Up Ahead briefings give a shared inbox a shopkeeper’s memory — the reply still waiting, the date a customer mentioned in passing, the thread that’s gone quiet. And Otto, our little helper, drafts and summarises, always with your sign-off before anything sends. It never replies for you, because we think customers can tell the difference.
The price math
This is where a small team feels the difference most — not the number, the model.
Missive’s published pricing (2026) starts at $14 per user per month billed annually for Starter — but Starter is capped at five users and leaves out integrations, automations and reporting. To get those, you need Productive at $24 per user; Business, with SSO and advanced analytics, is $36. There’s also a free tier to try. We charge a flat £24.99 a month: all team members, every channel, every feature. Here’s a five-person team over a year.
5-person team, one year
The shape of it matters more than the totals. Per-seat pricing means the tool costs you more precisely when you’re growing, which is exactly the moment a small brand feels every pound. And a five-person team on Starter is already at the cap — the next hire forces the upgrade decision. Bringing on an apprentice, some Saturday help, or a freelancer shouldn’t come with a line-item cost. With Inbox it doesn’t: one flat price, unlimited team, everything included.
| Everyday reality | Missive | Vidual Inbox |
|---|---|---|
| Pricing model | Per user, tiered — $14 to $36 per user per month | £24.99/month flat, unlimited team |
| Cost as you grow | Every person you add is another seat on the bill | The price stays put |
| Channels | Email, SMS, social and chat — breadth varies by plan | Email, Instagram DMs, WhatsApp, Messenger, Telegram, live chat — all included |
| Rules & automations | Up to 1,000 on Productive and above | Omitted by design — assign, note, tag, done |
| Setup | Account setup, channel connection, then the configuring | Under an hour; Gmail is one popup and a forward, no DNS |
Onboarding
If your shared address lives in Gmail, Inbox is about as light as setup gets — authorise it in a single popup, forward your hello@ or studio@ address, and you’re answering. On a custom domain it’s two DNS records we walk you through. Most teams are up and running in under an hour.
Missive’s setup is comparable in spirit; the main difference is how much you’ll want to configure afterwards, and that comes back to philosophy. The more a tool can be tuned, the more there is to tune before it feels finished. The test we’d apply to either tool: after the first week, can everyone on the team see what’s waiting, who has it, and what’s already been said — without asking each other?
Which suits which team
- You’re a support or ops team of a dozen-plus, you like building rules and routing, you want SMS, or collaborative drafting is the feature you’ve been looking for. Missive is a reasonable home, and worth trialling — their pricing page has the current tiers.
- You’re a small brand — a workshop, a studio, a maker selling direct — of one to ten people who want conversations, not tickets, and a price that doesn’t punish you for hiring. That’s exactly who we built Vidual Inbox for.
- A lot of your customers come through Instagram and WhatsApp. Inbox treats both as first-class channels — Instagram through Meta’s official API rather than something bolted on the side. We wrote about what that actually takes in our note on a shared inbox for Instagram DMs.
Switching from Missive
Getting started is straightforward: forward your shared address to the unique Inbox address we give you, invite the team, and new conversations start flowing in immediately. Your existing customer emails stay wherever they already live — nothing is deleted in the move, and the data you build in Inbox stays yours. If you’d like to talk through your particular setup before switching, book a 20-minute demo and I’ll walk you through it, including the bits where I’d point you elsewhere.
Common questions
What does Missive do well, and for whom?
Missive is a solid, feature-rich shared inbox with collaborative drafting, a broad set of channels including SMS, and rules and integrations you can configure in depth. It suits teams that enjoy shaping their tooling and expect to scale into more elaborate workflows — larger support or ops teams in particular.
Where does Vidual Inbox differ in philosophy?
We keep the surface deliberately small. Inbox does one thing well — lets a small team see, assign and reply to every customer conversation across email, Instagram, WhatsApp, Messenger, Telegram and live chat — and resists becoming a machine. No ticket numbers, no SLAs, no automation rules. The one thing we added beyond a plain inbox is memory, through Up Ahead briefings and Otto, so nothing customers mentioned in passing slips.
How do pricing and onboarding compare?
Vidual Inbox is £24.99 a month flat, plus VAT, for an unlimited team, with a 14-day trial and no card required. Missive charges per user — from $14 per user per month billed annually, rising to $24 for the tier with integrations and automations — so the bill climbs with each person you add. Onboarding is quick for both; Gmail users can connect Inbox with a single popup and a forward, no DNS wrangling.
Which team size suits each tool?
Vidual Inbox is built for teams of one to ten. Above that, or if you genuinely need SMS, deep automation rules and detailed reporting, a more configurable tool like Missive — or a full help desk — will serve you better. We’d rather say that plainly than sell you something that doesn’t fit.
Can you switch from Missive to Vidual Inbox easily?
Yes — forward your shared address to your Inbox address and invite the team, and new conversations start flowing in immediately. Your existing customer emails stay wherever they already live; nothing is deleted in the move.
Vidual Inbox is available now at vidualinbox.com. 14-day free trial, no credit card required. £24.99/month after that, every feature, every team member, no per-seat surcharges, no upsell ladder.
